1. Background

Some Faculties require technical staff to work an additional one or two hours each week during term time. The technical staff do not receive payment for the additional hours worked but they take additional holiday, retrospectively, in proportion to the number of additional hours worked. To be credited with the additional hours and hence the additional leave, the hours should be entered onto the "Laboratory Timetable" form P43, available from the Human Resources Team, which is completed annually, signed by the Head of Department and returned to the Human Resources Team, a copy being retained by the Faculty and the technician. The normal hours worked by technical staff are 37 hours per week. Prior to the reduction in the length of the teaching year, a technician working 38 hours a week for 37 weeks, which was then the length of the teaching year, was entitled to an additional 5 days leave to be taken in the following holiday year. Similarly, a technician working 39 hours each week during term time was entitled to an additional 10 days leave in the following holiday year. (The holiday year runs from 1 June - 31 May).

The teaching year has now been reduced to 30 weeks but the principle remains the same. Additional hours required of and worked regularly during term time entitles a member of technical staff to additional leave. However, because the leave entitlement is calculated according to the total number of additional hours worked during the teaching year, the number of additional days holiday entitlement is reduced in line with the length of the teaching year.

The following ruling applies:

a) It must be a requirement of the Faculty that technical staff work additional hours during term time.

b) The additional weekly hours must be entered onto the appropriate form which is then signed by the Head of Department and forwarded to the Human Resources Team, with copies being retained by the Faculty.

c) The number of additional hours a technician is required to work by the Faculty shall not exceed 2 hours each week during term time.

d) The additional holiday entitlement is calculated as follows:

Teaching year - 3 terms x 10 weeks duration = 30 weeks

1 additional hour for 30 weeks = 4 days additional leave

1½ additional hours for 30 weeks = 6 days additional leave

2 additional hours for 30 weeks = 8 days additional leave

e) The additional holiday entitlement shall be taken during the holiday year following the teaching year in which the additional hours have been worked.
